Program Coordinator & Administrative Assistant

Full-Time | Phoenix, Arizona | Hybrid

  

Position Summary

PCFR seeks a highly organized, proactive Program Coordinator & Administrative Assistant to provide administrative support to the staff and board and manage logistics for PCFR programs and events. This role is ideal for someone who thrives in a fast-paced environment, enjoys detailed planning, and wants to contribute to Arizona’s international engagement.

 

This position reports directly to the President & CEO and works closely with PCFR staff, board members, corporate partners, and external stakeholders including diplomats, government officials, and business leaders.

 

Please note that this role includes responsibilities outside of typical business hours, as PCFR events are often held in the evenings and occasionally in the early morning.

 

Key Responsibilities

 

Program & Event Logistics

  • In close coordination with PCFR staff, lead the planning and execution of all PCFR programs, including speaker events, roundtables, delegations, VIP receptions, and signature events such as the International State of the State.

  • Manage event timelines, vendor coordination, catering, audiovisual needs, venue bookings, and onsite execution.

  • Serve as the primary liaison regarding event logistics with speakers, moderators, corporate sponsors, and partner organizations.

  • Create and manage run-of-show documents, briefing materials, and guest lists.

  • Ensure events uphold PCFR’s brand standards, member experience, and high degree of professionalism.

  • Support registration and attendee communications before, during, and after events.

  • Track program metrics and assist with reporting for grants, membership, and sponsorships.

 

Administrative Support

  • Provide administrative assistance to the President & CEO, including scheduling, correspondence, travel arrangements and briefing preparation.

  • Assist with board meeting preparation, including scheduling, agenda drafting, minutes, and logistics.

  • Support donor relations, including preparing outreach materials, drafting thank you messages, tracking follow-ups.

  • Assist with office management tasks, including document organization, financial tracking, invoice processing, and reimbursements.

 

Qualifications

 

Required

  • Bachelor’s degree or equivalent experience

  • 1-5 years of professional experience

  • Exceptional organizational skills and ability to manage multiple concurrent projects

  • Strong written and verbal communication skills

  • Strong attention to detail and ability to anticipate needs

  • Proficiency in Google Suite; willingness to learn CRM and event management platforms

 

Preferred

  • Experience coordinating events and working professionally with VIPs and senior leaders.

  • Experience in nonprofit management, public affairs, international relations, business, or government.

  • Familiarity with Arizona’s international business landscape, consular corps, or global affairs community.

Compensation & Benefits

  • Competitive salary commensurate with experience; $35k-45k

  • Benefits include:

    • Paid federal holidays; in addition, the PCFR office closes between Christmas & New Year’s. 

    • 10 days of PTO per year, on top of federal holidays
